Job Description:
With over 15 years of experience, Results Advertising is a full-service agency specializing in strategic planning, digital marketing, media buying, creative design, video production, web development, and event management. We support a diverse portfolio of clients across multiple industries and deliver integrated, multi-channel campaigns.
We are seeking a highly organized and detail-oriented Executive Assistant to support senior leadership in coordinating cross-functional operations within a fast-paced advertising environment. This role combines executive-level administrative support with exposure to financial tracking and campaign coordination.
Key Responsibilities:

Streamline communication and workflows between the executive office and the creative/production teams to ensure organizational goals align with operational output.

Provide direct administrative support to the senior management, prepare and format executive-level documents, including reports, presentations, briefing materials, and internal communications.

Conduct market research, compile data, and prepare summaries to support the President and senior management in decision-making, including information related to market trends, campaign performance, and operational planning.

Coordinate executive-level board meetings, prepare agendas, record technical minutes, and assist in the strategic planning of agency events.

Assist in monitoring and tracking budgets, invoices, and expenditures related to media buying and client campaigns, and prepare financial tracking summaries as required.

Support the coordination of multiple concurrent projects by tracking timelines, deliverables, and administrative milestones across digital, video production, and web development activities.

Assist in city permitting processes, event management and on-site execution, including setup, logistics coordination, and vendor management.

Act as the primary point of contact between the executive office and external organizations including key clients, and manage long-term client relationships and media vendor contracts.

Oversee the administrative lifecycle of integrated campaigns, ensuring that web design, video production, and social media milestones align with client financial constraints.
Employment Requirements

Bachelor’s degree in business administration, public relations, finance, advertising, political science or a related discipline.

Minimum 2 years of experience in an executive assistant, account coordination or senior administrative role in advertising, marketing, public relations, consulting or similar industry.

Strong organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.

Proficiency in Microsoft Office (especially Excel), Adobe Creative Suite, Google Workspace, QuickBooks, and project management tools.

Understanding of budgeting, invoicing, or financial tracking in a business setting.

Excellent written and verbal communication skills in English.

Ability to work independently with minimal supervision while maintaining attention to detail.
